What you'll achieve
An email address on your domain, such as office@firmata.ro, that you read in Webmail, on your phone or in Outlook. It takes two to three minutes.
An address on your company's domain looks more professional than a Gmail or Yahoo one, stays with the company when employees change and can be signed with DKIM, so messages land in the Inbox more often. At NBT Host, email addresses are included in your hosting plan, not charged per mailbox: what you get with each one is on the Email on your domain page.
Before you start
- Your Enhance login details — the email address and password of your hosting account, from the NBT Host welcome email.
- Your domain must point to us for email. The simplest way is with the nameservers
ns1.nbt-host.roandns2.nbt-host.ro(the steps are in How to point your domain to NBT Host). If the domain's DNS stays with another provider, for example Cloudflare, the email records have to be added there — you'll find them in the same guide, or we can tell you. - How many addresses you can have. The Starter plan includes 10 email accounts; the other plans, unlimited. Mailboxes use the plan's disk space — on Starter, 10 GB for website and email combined.
- About the language. We use the English names from the Enhance interface, exactly as they appear on screen. If your browser is set to another language, the panel may open in that language, and some translations can be confusing. Switch it to English from your account menu: “My account” » “Language”.
The steps
- Log in to Enhance at https://server.nbt-host.com, with the email address and password of your hosting account (see How to log in to Enhance and Webmail).
- In the left menu, click “Emails”. The “Email accounts” list opens. (You also get to the same list from “Websites” » your website » the “Emails” tab.)
- Click “Add account”.
- Under “Email address”, enter the part before the @ sign — for example
office, foroffice@firmata.ro— and choose the domain from the list next to it, if you have several. - Leave “Make this email address a catch-all” unchecked. If checked, the address would also receive every message sent to addresses that don't exist on the domain — which means a lot of spam.
- Under “Account type”, leave “Mailbox”: a mailbox that stores messages and that you can send from. The other option, “Forwarder-only”, only forwards messages (see Email forwarding and auto-reply). Under each option you can see how many addresses you have used from your plan.
- Under “Mailbox size”, enter how much space the mailbox gets and choose the unit (MB or GB) — for example, 1 GB. You can increase it anytime.
- Under “Full name”, you can enter the name recipients see, yours or your company's.
- Under “Password”, enter a password or click the key button next to the field: Enhance generates a 16-character one. The eye icon in the field makes it visible — write it down, you'll need it on your phone and in Outlook. The password must be at least 10 characters long, with a lowercase letter, an uppercase letter, a digit and a symbol. Below the field you can see what is still missing.
- Click “Add”. The address appears in the “Email accounts” list.
In the list, for each address you can see how much of the mailbox it uses (“Mailbox usage”) and its DKIM and SPF status (see Why my emails go to spam: SPF, DKIM, DMARC). The row menu has “Manage” (all the address settings), “Disable” and “Permanently delete”.
An address cannot be renamed. If you got it wrong, delete it while it is still empty and create it again.
What you'll find under “Manage”
On the address page, the left menu has:
- “Mailbox” — the name shown to recipients (“Senders name”), the password (“Password”, with the “Reset” button), the mailbox size (“Mailbox size”) and “Manage aliases” — if the website has several domains, the same address can also receive messages on the others (for example
office@firmata.com, alongsideoffice@firmata.ro); - “Forwarders”, “Catch-all” and “Out of office” — forwarding, messages sent to nonexistent addresses and auto-reply (see Email forwarding and auto-reply);
- “Spam settings” — how strict the spam filter is (see Spam filters and the Spam folder);
- “Email client settings” — the settings for your phone and Outlook.
Settings for email apps
In this example, the domain is firmata.ro.
| What | Server | Port | Security |
|---|---|---|---|
| Incoming, IMAP (recommended) | mail.firmata.ro | 993 | SSL/TLS |
| Incoming, POP3 | mail.firmata.ro | 995 | SSL/TLS |
| Outgoing, SMTP | mail.firmata.ro | 465 | SSL/TLS |
| Outgoing, alternative | mail.firmata.ro | 587 | STARTTLS |
- Username: the full address (
office@firmata.ro), not justoffice. - Password: the email address password, not your Enhance one. The outgoing server also requires authentication, with the same details.
- Server name:
mail.followed by your domain works when the domain points to our server — then it also has an SSL certificate. In any other case, or if you're not sure, useserver.nbt-host.com: it works for any domain hosted with us, on all the ports above. - IMAP or POP3? Choose IMAP: messages stay on the server and you see them the same way on your phone, laptop and in Webmail. POP3 downloads messages to a single device and usually deletes them from the server.
- Sending limit: 200 emails per hour, for each address. For newsletters to large lists, use an email marketing service.
You'll find the same settings in Enhance, under “Manage” » “Email client settings”. There, the server always appears as mail. + your domain.
How to change an address's password
- In “Emails”, open “Manage” next to the address.
- Under “Mailbox”, next to “Password”, click “Reset”.
- Enter the new password under “New password” or click the key button to generate one.
- Click “Save”. The message “Password saved” appears.
- Also enter the new password on your phone, in Outlook and in any other app — otherwise they will show a password error.
Whoever uses the address can also change the password themselves from Webmail (see Webmail: how to read your email in the browser).
If something doesn't work
- It won't let you create a new address. On the Starter plan you can have at most 10 addresses; under “Mailbox” you can see how many you have used. Delete one you no longer use or move to a bigger plan — write to us.
- You receive messages sent from other addresses hosted with us, but not those from outside. The domain doesn't point to us for email yet: the MX record is somewhere else (at your old provider, at Google, etc.). After changing the nameservers, propagation can take a few hours. Also check in Enhance: “Websites” » your website » “Domains” » “Manage” next to the domain » “Mail routing settings” must be set to “Local mail”. If DNS stays with another provider, write to us and we'll tell you what needs to be added.
- Senders get a bounce message saying the mailbox is full. The mailbox space is used up: when it's full, you can neither receive nor send. Increase it from “Manage” » “Mailbox size” or clean up: delete large, old messages and empty the Trash (Deleted Items) and Spam folders. You can see how much each address uses in the “Email accounts” list, under “Mailbox usage” (see also How much space you use and what takes up room).
- You forgot an address's password. We cannot see passwords. You set a new one from “Manage”, as above.
- You want to stop an address without deleting it. Use “Disable”: nobody can log in to it anymore (neither from Webmail nor from a phone), but incoming messages are kept and forwarding keeps working. You turn it back on with “Enable”.
- You deleted an address by mistake. Deleting it also removes its messages. We make daily backups and restore for free from a backup from the last 7 days — write to us as soon as possible (see Backup and restore in Enhance).
